With this blog we want to give you a behind-the-scenes look on how we make your timeline so you can value the importance of having a wedding planner to assemble your wedding day.
Vendor Coordination
When it comes down to the last stretch before the big day, the last thing you should have to is coordinate all your vendors. We start communication with your vendors months before your wedding to avoid any timing conflicts. This means confirming arrival times of each vendor, what, if any, accommodations they need as far as tables, linens, etc., and when they plan on leaving. As we fill in the timeline details, we also confirm big pieces such as a first look with the photographer, the timing of each course with the caterer, and dances and toasts with the DJ. This way, every vendor knows exactly where they need to be and when throughout the entire day.
“In-Between” Timing
We often have a skewed perspective of how long some activities truly take and what distractions could influence the timeline. We have seen brides expect to put their dress on in five minutes, expect their toasts to last only a couple minutes, and anticipate travel with no traffic. We say: expect the unexpected come wedding day! When we create the timeline, we realistically schedule in extra time for certain activities where you may need time to get from one place to another, may get distracted talking to friends and family, or may just take a little longer than you expected! It’s always better to be early than run over.
Surprises
Often a bride or groom will want to surprise the other with a special toast, dance, wardrobe change, or entertainment. To ensure your surprise stays a secret and goes off without a hitch, your wedding planner will have a secret timeline item that is only shared with vendors such as the DJ to make an announcement and the photographer to be in the right place at the right time.
